How much does grant management software cost in the UK?

Published prices for grant management software in the UK vary widely. On 18 October 2026, Good Grants listed £2,800 a year for one application form, Submit.com €5,995 a year for one programme and Plinth £20,000 a year for one council programme; one G-Cloud listing showed £14.15 to £59.75 per user per month. Many providers publish no price and quote by programme size or the amount you award. Setup, data migration and integrations often come on top. If your main problem is the application form itself, a form builder or a custom form can cost less.

These are the prices the providers list on their own pages. Check currency, VAT and what counts as a ‘programme’ or ‘form’ before you compare.

What drives the price

  • Programmes or forms: Good Grants limits the number of forms per plan; Submit.com and Plinth count programmes.
  • Volume: applicants per year (Submit.com), applications (Good Grants) or the amount you award (SmartyGrants, Flexigrant).
  • Users and reviewers: some plans cap reviewers and admins, others include unlimited users.
  • Features: eligibility screening, scoring, panels, payments and monitoring often sit in higher plans.
  • Setup and onboarding: Flexigrant quotes setup, migration, integrations and training upfront. Plinth names a standard onboarding of six to eight weeks for grant management, with a fast-track option.
  • Contract terms: annual subscriptions and minimum terms. Flexigrant notes that cancellation fees may apply.

What councils paid: public contract notices

Councils publish contract awards, which gives real figures rather than list prices. On Contracts Finder, Hull City Council recorded a contract for grant management software with Fluent Technology Limited, awarded through the Crown Commercial Service G-Cloud 14 framework and published on 21 January 2026: two years with the option to extend by a further 12 months, at a cost of £50,505. The notice does not say whether that amount includes the extension.

Public bodies can compare cloud software in the G-Cloud catalogue of the Digital Marketplace, where services are listed with prices and pricing documents. Your own procurement rules decide which route you can use.

Compare totals, not monthly prices

A subscription is paid every year, so compare the cost over the period you expect to use the system. Using only the published prices above and assuming they stay unchanged:

RouteYear 1Three yearsNotes
Good Grants Intro£2,800£8,400one application form
Good Grants Premium£5,600£16,800ten forms
Submit.com Starter€5,995€17,985one programme, up to 1,000 applicants
Plinth, one council programme£20,000£60,000excluding VAT

Costs beyond the subscription

  • Setup and configuration: building your forms, scoring criteria and email templates in the platform, by the provider or by your team.
  • Data migration: past applicants, grants and payments from spreadsheets or an old system.
  • Integrations: a link to your finance system or CRM, if the platform does not offer one.
  • Staff time: learning the system, running rounds, answering applicants' questions.
  • Exit: getting your data out in a usable format when you change provider.

Cheaper routes for a small trust

Not every funder needs a full platform. If you run one or two rounds a year with a small panel, the costly part is often the application, not the assessment.

  • General form builder: Jotform, for example, listed its Bronze plan at $34 a month billed yearly ($408 a year), with 50% off for eligible non-profits (checked 18 October 2026). Check whether it handles your eligibility logic, budget checks and uploads, and how your team will review.
  • Spreadsheet plus form: many small trusts track applications in Excel. Our guide grant tracking spreadsheet for trusts shows a column layout and where it stops working.
  • Custom online form: an application form built for your programme, paid once per stage, with a reviewer list and CSV export to your spreadsheet or CRM. This is what we build: online grant application forms.

How a custom form is priced

We do not publish a price list for application forms. After a no-obligation intro call we quote a fixed price for each stage before any code is written: for example the concept with a clickable prototype, the form itself, and optionally the reviewer portal, integrations and hosting. You can test after each stage.

The price depends mainly on the number of steps and questions, how complex the eligibility and budget rules are, the number of languages, and whether data has to flow into an existing system. Assessment, scoring and grant payments are not part of the form; the data goes wherever you handle those today. Saving and returning later and electronic signatures are not built in; we build save and return if your programme needs it. Our reference is an online application assistant for a German federal funding agency, built, accepted and handed over.

Questions to ask every provider

  • What exactly is a ‘programme’, ‘form’ or ‘application’ in your pricing?
  • What does setup cost, and is migration from our spreadsheet included?
  • Are prices in pounds or euros, and do they include VAT?
  • How long is the minimum term, and how do we get our data out when we leave?
  • Where is applicants' data stored, and will you sign the processor contract the UK GDPR requires?
  • Does the applicant side meet WCAG 2.2 AA, which GOV.UK names for public sector websites, and is there an accessibility statement?

Frequently asked questions

How much does grant management software cost?

Annual prices we checked on 18 October 2026 range from £2,800 (Good Grants Intro) to £20,000 for one council programme (Plinth). Some listings charge per user instead, and several providers, including Flexigrant and SmartyGrants, quote individually.

Is there free grant management software?

Plinth offers free Community plans for some uses, such as fundraising and case management; for grant management it lists a paid annual plan without an amount. General form builders such as Jotform have free tiers with low limits.

What does council pricing include?

Council plans can cover more, such as several programmes, public pages and reporting. Plinth, for example, includes a community page, a reports dashboard and a delivery partner network in each council programme.

Can a council buy grant software through G-Cloud?

Public bodies can buy cloud software through the Crown Commercial Service G-Cloud framework. Hull City Council, for example, awarded its grant management software contract through G-Cloud 14. Check your own procurement rules.

Is a custom online form cheaper than software?

It can be, if the application is your main problem. You pay a fixed price per stage instead of a yearly subscription, but assessment, scoring and payments stay in your existing process. Compare totals over three years, including staff time.

Does Schwerpunkt sell grant management software?

No. We build online application forms with eligibility checks, uploads, a PDF copy, a reviewer list and CSV export. Try the demo for a fictional trust.
